Key Job Responsibilities/Essential Functions PATIENT CARE COORDINATOR RESPONSIBILITIES: • Provide exceptional customer service by making the patient the #1 priority. • Promptly answer phones with a smile, and communicate with patients in a courteous manner, using recommended verbiage. • Demonstrate and influence a culture of good teamwork to deliver an extraordinary experience for every patient. • Address patient’s questions and/or concerns and know when to collaborate with other team members. • Respond to patient appointment requests as quickly as possible and schedule all appointments in accordance to practice guidelines. • Confirm scheduled appointments to assist in patient flow day to day. • Communicate the arrival of a patient and their needs to the clinical staff/Treatment Coordinator, as well as notifying doctors of any changes/anticipated issues with the daily schedule. • Assist patients in completing new patient health history forms and accurately enter all patient information into topsOrtho, ensuring that we have the most updated information on file for each patient. • Be prepared to positively present financial arrangements/options to patients, adhering to practice protocol. • Work closely with the Financial Coordinators to verify coverage and fee schedules and partner with company vendors to complete insurance breakdowns, within 48 hours of a patient’s scheduled appointment time. • Follow payment policy by posting all charges and payments to patient accounts, and by collecting payments from the patients at the time of service. • Calmly and effectively guide patients by phone through any questions or issues they may have. Pass to the correct team member if you cannot accurately and confidently answer questions. • Actively ask existing patients to refer friends and family members to the practice and complete the patient survey regarding their experience. • Complete checklists as assigned and participate in daily huddles to ensure that every single day flows smoothly. • Maintain patient confidentiality through HIPAA compliance. • Closed-End-confirming income matches for merchant and ACH. • Other duties as assigned. SKILLS: • Decision-making skills: Must have superior decision-making skills. • Communication: Must possess executive-level communication and influencing skills with the ability to resolve issues, build consensus among groups of diverse internal/external stakeholders, and have proven skill in negotiating and mediating conflict • Professionalism and Integrity • Organization, planning, and analytical skills QUALIFICATIONS/REQUIREMENTS: • A minimum of a high school degree or equivalent is required • Prolonged sitting at a desk (average 6 hours/day) • Ability to attend to multiple tasks at the same time and to prioritize assignments as needed. • Minimum of 3 years Customer Service experience • Must be organized and detail oriented. • Must be able to communicate clearly through a telephone. • Experience working in a professional, medical, or dental environment with direct customer service is desired. • Knowledge of Microsoft Office suite; proficiency with dental software systems an asset. WORKING CONDITIONS: • Dental Office: Fun and friendly environment • Must be able to sit long periods of time at a desk. • Minimal lifting required for inventory upkeep and stocking. • Must be able to use both left and right hand.
