Job Posting: Office Manager at All Star Kids Family Dental Job Description All Star Kids Family Dental is excited to announce a career opportunity for a dedicated and dynamic Office Manager. This full-time position offers a chance to play a critical role in the growth and efficiency of our family-oriented dental practice. Located in the heart of our community in Dayton, Tx, this role requires the presence and participation of the Office Manager on-site, offering no option for remote work. The successful candidate will be instrumental in ensuring that our operations run smoothly and that our patient experience is nothing short of excellent. The Office Manager at All Star Kids Family Dental will be primarily responsible for the practice’s business developments, implementing critical systems and protocols while building a strong team dynamic. This role demands a highly organized, diligent professional who excels in multiple areas of business management, including marketing, HR, compliance, and patient relations. By improving practice efficiencies and fostering an environment conducive to growth, the Office Manager will be a pivotal figure in both maintaining our current patient base and expanding it. Duties and Responsibilities • Lead and develop the practice’s business and operational strategies. • Implement and refine management systems, processes, and practices to improve overall efficiency and effectiveness. • Manage patient experience to ensure high satisfaction and retention, while also formulating strategies to attract new patients. • Oversee the day-to-day operations, including scheduling, patient communications, and office administrative tasks. • Handle HR responsibilities, including hiring, training, and managing staff performance and development. • Coordinate with IT and other support services to manage practice management software and other tools. • Ensure compliance with all required State, dental and insurance regulations and safety standards. • Oversee financial operations including production, collection, budgeting, forecasting, and accounting activities. • Handle marketing and public relations for the practice to enhance its market presence and attract new business. • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, and participating in professional societies. • Manage conflicts and mediate between staff effectively, preserving a harmonious work environment. • Report directly to the doctor/owner and provide regular reports on practice performance and challenges. Requirements • MUST have 10 plus years of Dental Administrative experience including front office, treatment planning, management and billing experience. • High school diploma or GED, or an acceptable combination of education and experience. • Postsecondary degree or diploma in business, marketing, economics, or a related field. • Proven knowledge and expertise on all dental insurances including PPOs, Medicaid,etc. • Previous years of experience with managing an efficient, high volume practice. • Excellent organizational, strategic planning, and implementation skills. • Ability to create realistic schedules and meet deadlines under stress and interruptions. • High level of critical and logical thinking, analysis, and reasoning to identify underlying principles, reasons, and facts. • Strong analytical and research skills. • Excellent interpersonal, communication, and relationship management skills. • Excellent attention to detail and a high degree of accuracy. • High level of integrity, confidentially, and accountability. • Ability to respond appropriately in high-pressure situations with a calm and steady demeanor. • A well-defined sense of diplomacy, substantial negotiation, conflict resolution, and people management skills. • Previous experience in practice management software Open Dental is considered an asset. • Strong knowledge of general office procedures, compliance, Medicaid requirements. • Able to write simple correspondence, including emails, memos, letters, etc. • General mathematical skills. • Adjusts and is flexible to meet changing work needs and demands. • Strong knowledge of Microsoft Office applications. • Ability to resolve personnel issues and mediate staff difficulties with or without assistance from the Dentist.
