Job Summary: The Treatment Coordinator for Rush Orthodontics is responsible for performing administrative office duties including greeting patients, answering phone calls, scheduling appointments, insurance verification, and opening and closing the clinic. The Treatment Coordinator also acts in the capacity of a dental assistant when needed and assists the doctor in clinical care. The individual who holds this position exemplifies the Rush mission, vision, and values and acts in accordance with Rush policies and procedures. Job Responsibilities: · Calls patients and gathers relevant information prior to appointments; updates doctor regarding patients needs. · Verifies patients benefits prior to the appointment. Provides estimates to patients and schedules follow-up appointments. · Prepares and submits dental insurance claims. · Prepares and presents contracts and consents; acquires signatures prior to start of treatment. · Responsible for opening and closing the clinic Monday through Thursday of every week. · Adjusts clinic schedule as necessary to keep patient flow smooth with doctors approval. · Manages and triages messages and urgent calls from patients during clinic hours. · Responsible for ordering clinic supplies and tracking orders placed and supply usage; maintains and updates vendor list; pays invoices. · Manages reporting on a weekly and monthly basis to monitor payments, appointments, recalls, etc. · Provides doctor with a monthly practice performance report to include appointments, consults seen, new contracts, and total dollar amount of new contracts. · Maintains equipment maintenance schedule and lab work. · Responsible for lab and clinic cleanliness and organization of clinical supplies; responsible for sterilization. · Monthly review of overdue insurance reimbursements, payments, and follow-up with necessary organizations accordingly. · Communicates with referring providers about treatment requested and track referrals provided. · Schedules meetings for the doctor as needed. · Tracks incoming and outgoing lab appliances. · Assists with lab appliances fabrications if needed. · Provides cross coverage of the front desk staff. Required Job Qualifications: · Bachelors degree or three years of experience working in a dental/healthcare setting required. · Ability to work in the clinic/lab as needed alongside a dental assistant. · Proficiency with the Microsoft Office Suite. · Excellent written and verbal communication skills. · Excellent interpersonal skills. · Ability to work effectively with internal and external practices. · Ability to be available to work on Fridays if there is an urgent need. · Ability to monitor Rush Orthodontics email/messaging to answer patient messages and contact doctor after hours if needed. Preferred Job Qualifications: · Previous experience in a hospital, medical, or dental environment interacting with patients preferred. · Previous experience working in a dental or orthodontic practice preferred. · Knowledge of medical terminology preferred. · Knowledge of Dolphin, Aquarium, VixWin, Invivo, ITERO, or similar dental software preferred.
